As the legal parent or guardian of the child (referred to as the “Parent,” “Guardian,” “I,” or “me”), you consent to your child’s participation in the programs and activities (the “Program(s)”) offered by the STEMA Learning Center location where your child is enrolled.
This agreement applies to all programs, including classes, camps, workshops, after-school programs, and related activities.
The membership program is offered once or twice per week depending on the parent’s enrollment. Each session is one hour in duration.
Upon completing registration and payment online, the subscription plan begins immediately and is valid for one month. The subscription plan will automatically renew each month and the applicable fee will be charged to the credit card on file.
To reschedule a session, notice must be provided at least twelve (12) hours in advance. Rescheduled sessions must be completed within fourteen (14) days of the original class date.
If a session must be cancelled due to school closure unrelated to COVID-19 (such as weather or snow day), STEMA Learning Center will provide a make-up class. No credit or refund will be issued.
Fourteen (14) days written notice is required to cancel the subscription plan. Memberships may be frozen for up to three (3) months within a calendar year.
Camp programs may include Spring Camp, Summer Camp, Winter Camp, or PD Day camps.
The program price is established at the time of registration and must be paid in full as specified during registration.
Before 3 Weeks
Cancellations made at least three (3) weeks before the camp start date are eligible for a full refund.
Before 2 Weeks
Cancellations made between two (2) and three (3) weeks before the camp start date will receive a full refund minus a $50 administrative fee.
Within 14 Days
No refunds will be issued for cancellations made within fourteen (14) days of the camp start date.
Once Camp Starts
No refunds will be issued after the camp has begun.
Transfer Option
Depending on availability, registration may be transferred to another camp session.
Parents or guardians must deliver the child directly to a STEMA Learning Center staff member. Students will only be released to a parent/guardian or individuals authorized by the parent in writing.
Parents may remain on the premises during sessions but are not required to do so.
For programs that include school pickup services, the Parent/Guardian authorizes STEMA Learning Center staff to pick up the child from the designated school and transport the child to the STEMA Learning Center location.
Transportation may occur by walking, group supervision, or vehicle transport depending on the location.
STEMA Learning Center is not responsible for the child until the child has been picked up by STEMA staff.
Parents or guardians must pick up their child at the scheduled program end time.
Late pickups may result in additional supervision fees. Repeated late pickups may result in suspension or termination of the child’s participation in the program.
Students must respect instructors, peers, and property, follow instructions, and maintain appropriate behaviour.
STEMA Learning Center maintains a zero-tolerance policy for bullying including verbal abuse, physical aggression, cyberbullying, intimidation, or exclusion.
Violations may result in warnings, suspension, or dismissal from the program.
No refunds will be issued if a student is dismissed for behavioural reasons.
Programs may include supervised outdoor activities such as visits to nearby parks or playgrounds. By enrolling your child, you consent to participation in such supervised outdoor activities.
STEMA Learning Center may occasionally take photographs or short video clips during classes or camps to highlight student projects and promote programs through newsletters, social media, and the website.
By registering for the program, you acknowledge that photographs or recordings may be taken.
If you do not wish for your child to appear in photographs or videos, please notify STEMA Learning Center in writing prior to the program.
STEMA Learning Center may utilize video surveillance equipment to monitor interior and exterior areas of its premises for safety and security purposes. Surveillance will not be conducted in bathrooms.
STEMA Learning Center is not responsible for lost, stolen, or damaged personal belongings brought to the program.
If a child becomes ill or requires medical attention during a program and the parent cannot be reached, the parent authorizes STEMA Learning Center staff to seek appropriate medical assistance including contacting emergency services if necessary.
Any costs incurred for medical services are the responsibility of the parent or guardian.
IMPORTANT: THIS SECTION CONTAINS A RELEASE OF LIABILITY AND WAIVER OF CERTAIN LEGAL RIGHTS.
The Parent/Guardian acknowledges that STEMA Learning Center programs may involve hands-on activities including robotics, electronics, engineering projects, tools, materials, and outdoor activities.
While reasonable precautions are taken to ensure safety, participation may involve risks including physical injury.
The Parent/Guardian voluntarily accepts these risks and permits the child to participate.
The Parent/Guardian confirms that all relevant information regarding the child’s health, behavioural, physical, or mental conditions has been disclosed.
Failure to disclose relevant conditions may result in the child being withdrawn from the program if safety concerns arise.
To the fullest extent permitted by law, the Parent/Guardian releases, waives, and holds harmless STEMA Learning Center, its owners, directors, employees, instructors, contractors, agents, and affiliates from any claims, damages, liabilities, or expenses arising from the child’s participation in the Program(s), except where caused by gross negligence or willful misconduct.
The Parent/Guardian agrees not to bring any legal action against STEMA Learning Center related to participation in the Program(s), except where prohibited by law.
By agreeing to this document, the Parent/Guardian confirms that they:
• are the legal parent or guardian of the child
• have read and understood this agreement
• voluntarily accept all terms and policies
• are over the age of eighteen (18)
• have authority to enter into this agreement on behalf of the child
